Job Description

Administrative Associate will work under minimal supervision, to provide essential administrative and business support services within a school, department or unit which may include budget maintenance, personnel processing, policy communication, facilities/space management, database/files management and office management. Coordinate programmatic activities and functions. Conduct special projects relating to department administrative operations at the direction of supervisor. To maintain vendor relationships. To interface with internal and external constituencies.  
 
This Position will provide confidential secretarial/office support functions for Executive Administrator, department chair, and other admin directors within the department. May be responsible for equipment/furniture ordering and placement. May prepare financial reports and analyses for EA if needed. This position provides office operations support such as preparing and composing confidential correspondence accurately without errors. Coordinates faculty and staff on-boarding activities; monitor credentialing and privileging process in collaboration with HR Shared Services in the SOM Dean’s Office. Provide grant support, and maintain faculty CV’s. Serve as resource to faculty and staff Coordinate programmatic functions and/or special assignments as requested. Serve as back-up to office staff during absences. Assist with physician licensing, certifications, reappointments, memberships, and fellowship interviews and activities as needed. Assist EA with faculty reappointments, memberships, and fellowship interviews and activities as needed.

Bachelor’s degree in a related field and one (1) year of related experience required or an equivalent combination of relevant education and/or experience. 

 
Ideal candidate will be detail oriented, resourceful, have excellent verbal and written communication skills, must anticipate the needs of the Executive Administrator and department, adept in technology, have excellent organization and time management skills
