Essential Duties and Responsibilities

  • Manage a full-cycle sales process including creative lead generation and prospecting, discovery, presentations, contract negotiations, and closings with Hospitals and IDNs within the territory.
  • Call on hospitals within assigned territory, including cold-calling hospitals which are not current customers, to make sales presentations to multiple decision-makers to drive product sales

A process owner of the order fulfillment process, the Customer Service Representative is responsible for the anticipation, planning, and managing of core customer business. The Customer Service Representative will be the liaison between operations and sales associate and will lead by being customer focused.
Key Roles/Responsibilities:
  • Customer Contact-Customer Service Rep is the main contact person for the Customer regarding orders, inventory & shipments. CSR/Customer contact may be via phone, email, fax or EDI. CSR is responsible for responding in a timely & professional manner.
  • Order Entry – Receive orders via Email, Fax or Mail. Enter order into SAP and confirm availability to customer. If not in stock, must get order scheduled and then confirm with customer. Must also use the correct order type that corresponds with the customers ordering trends. CSR will also handle cancellation of orders, confirm pricing to the customer and keep the customer abreast of changes in scheduling. Also responsible for processing any changes that may occur in shipping location, order quantity/date and materials ordered.
  • Stock Availability Review – When inquiries are received must have knowledge of various inventory screens in SAP in order to ascertain if stock on hand is actually available or if it has previously been committed to another order. Once determination has been made findings must be conveyed to the customer (if available) or to the scheduler (if not available) in order to secure production timing.
  • Shipment Management – Create BOL once inventory is ready for shipping. Status of shipment will be determined by various methods such as ZL04 report or customer status reports. CSR must be aware of inventory status in order to make on time delivery. CSR is also responsible to convey method and terms of shipment to the shipping department.
  • Status Reports-Customer Service is responsible for compiling and or updating status reports for some KEY customers. So may require as little as an SAP generated report while others are custom designed. Reports may include inventory at all stages of our process, customer code # and PO #, production run dates and quantities.
  • Complaint Management-CSR will enter the complaint in SAP once the customer notifies us of any non-conformance. The CSR will also enter a return order and return BOL if a decision has been made to return the ware. CSR will be provided this information by the Quality Service Representative.
  • Cold Calls-CSR also fields incoming calls from potential customers looking for stock products. If the call is for a larger volume of ware and/or custom designs then CSR will refer the call to a Sales Representative.
  • Pricing-CSR will confirm pricing to the customer based on purchase quantity. Price may also include TQP (total quantity purchase) for various decorated items. Will forward updated pricing agreements to the pricing coordinator so that it can be entered in SAP. This enables us to have current and accurate views of pricing for any given customer.
  • RFQ (request for quote) – CSR will enter a request for quote in the event that the sales rep is unavailable. This is the primary function of the sales department.
  • Artwork-CSR may receive new or updated artwork from a customer. The CSR will complete the deco spec form and forward it to the decorating department. Once samples are, completed CSR will approve or request revised samples based on the customer’s response.
  • New Material Request-CSR enters a request for a new material number in the FORMS section of Lotus Notes. This is completed once we have been awarded new business or a new deco copy is created or a new pack design is required.
  • Customer Specifications-CSR scans and completes the Lotus Notes Form for the review of customer specs. Once the spec has been reviewed by all required departments the CSR advises the customer of the approval &/or revisions needed in order to achieve approval status.
  • Inventory/Production Status-CSR will monitor inventory levels and notify the customer of ware as it becomes available. Also, monitor production dates to verify slippage in schedule.
  • Deductions-CSR completes the Lotus Notes form for deductions. If the deduction is valid, the CSR will enter a complaint into SAP and update the form with all pertinent information. If the complaint has already been entered, the CSR simply adds the information to the deduction form. If the deduction is not valid, the CSR advises the customer (in writing) that the deduction needs to be paid and updates the form and attached all documentation.
  • Follow all safety rules and work regulations
  • Any additional jobs, tasks, or responsibilities assigned to them by their immediate manager/supervisor

  • 3+ years of Customer Service and/or Customer Coordination experience
  • Ability to multi-task by handling multiple accounts simultaneously
  • SAP experience a plus
